You should first check the Events Binder in the OME on Karen’s desk to see if any other events are planned for your desired date to avoid potential conflicts.

The exam schedule is also included on this calendar.

UB Mobile Med should also be updated with this information on a weekly basis – to check the calendar use your PDA or log onto UB Mobile Med with your e-mail username and password at https://smbs09a.med.buffalo.edu/ubmobilemed/source/home_Web.asp. Look under “Calendar” and then on the “Event Type” drop-down menu go to the ‘20042005 – Polity Club Master.

Harriman Hall Reservations 829-3932 If you plan to serve food in Harriman Hall, you will need to apply for a food permit (829-3301). Tables and chairs are generally available at no charge as long as you do all the set-up and break down; plan this time into your reservation.
 

Microphones & Digital Camera

Contact OMC to reserve the digital camera and/or the wireless microphones for Butler and G-26.

 

Video Camera/In-Focus Projector

When you supply your own VHS tape, you can reserve the video camera and record the lecture/panel, etc.
The OMC has an In-Focus Projector available for powerpoint or laptop presentations. Or you can ask for the lock combination to the computer in the front of the room to project the presentation onto the screen.
OMC usually has a slide projector that you can reserve also.

Tables & Chairs
University Facilities, North Campus
Need tables and chairs for an event in the BEB atrium?
You can reserve tables, chairs and a podium from the Office of University Facilities for a charge (~$65).
Call 645-2025. Make sure to submit your request at least two weeks before the event.

Jenny can assist you in making updates to your site and explain how to use OMC's scanner to transform pictures for use on the web. Your Polity representatives can help you post your club's web site.
  Telecommunications
Need to page a doctor for your upcoming lecture series because you're never at home to get his/her return phone call?
  • If you're on campus and need to page someone, you can have the page returned to the OME - just let us know in advance that the call is coming in and we'll give the incoming call to you or relay your message.
  • If you need to make a long distance call or send a fax to your national organization or out-of-town speaker, come to the OME and ask to use the phone or fax.
  Flyers and Graphics
Debbie Stamm, OME
Need some attention-grabbing clipart or help getting a flyer together? ¨ Make a 30-minute appointment with Debbie and she'll show you how to access clipart and/or help design a flyer for your event. Use OMC's color printer to add color.
  Faculty Advisor
Although student groups are not required to have an officially designated advisor, input from a committed faculty sponsor can be enormously helpful. If you would like help in identifying a faculty member to assist your group, please see Debbie Stamm or another member of the administration.
 

Money
Under no circumstances is a student group permitted to have a bank account or other account in the group’s name. All financial transactions must be processed through Polity/SubBoard.   For any purchases out-of-pocket that you plan to be reimbursed for, be sure to follow Polity’s guidelines (encumber the funds, etc.) and use a tax exempt form because you will not be reimbursed for tax.

In addition to money allocated to your group by Polity, you may want to seek additional funds. Here are some ways to tap into other money:

  • Apply for a grant through SUB Board 1. See your Polity Rep for more details or call SUB Board's Office on the North Campus at 645-2954.
  • If you're travelling as an officer of your organization for something that will benefit the student body as a whole, you may be eligible for up to $250 in additional funds from the Medical School Parents' Council. You must submit a written request in advance explaining the nature of the trip, your role, how the student body will benefit, along with an official flyer describing the convention or conference.
    If approved, you’ll need to submit a conference announcement along with riginal receipts (and boarding passes, where applicable) to receive reimbursement.
